If your organization is listed above, please plan to ship what you would like put in the attendee bags to arrive no later than Thursday, January  13th at the following address:

If you are unable to ship the materials to arrive before Thursday, January 13, vendors will be permitted to bring the inserts to the conference but must be hand-delivered to PMI staff by 10:00 Thursday morning to ensure they can be placed in the welcome bags.

Vendor Table Amenities

  • PMI will provide the following with each vendor table package purchased:

    • Vendor pass for up to two individuals that allows for the following:

      • Participate in all conference education session(s)​

      • Join attendees for all conference cocktail parties, meals, and breaks

    • 6-foot skirted table

    • Two chairs

    • Waste basket

    • Complimentary WiFi Access

    • Electrical service for up to 4 devices

    • Posting of vendor information in the conference app.

Vendor Table Set Up Schedule

Vendors are free to set up their tables during the following times:

  • Wednesday, January 26, 2021

    • Between 3:00PM and 8:00PM

  • Thursday, January 27, 2021

    • Between 9:00AM and 5:00PM

    • Between 7:30PM and 9:00PM

  • Friday, January 28, 2021

    • Between 8:00AM and 10:00AM

We ask that all vendors be respectful of the setup times listed above to ensure that there is no interruption with events scheduled to take place in the vendor areas.

Exhibit Times

Unlike other conferences, there will not be any official "Exhibit Hall Hours".  As with past PMI conferences, the meals, breaks, and cocktail parties will take place in the vendor areas.  To gain maximum exposure, these are the times that attendees will be in the vendor areas, etc.

  • Thursday, January 27th

    • Cocktail Party- 5:30 - 7:30PM​

  • Friday, January 28th

    • Breakfast- 6:30-8:00AM

    • Morning Break- 10:30-11:00AM

    • Luncheon- Noon - 1:15PM

    • Afternoon Break- 3:30-4:00PM

    • Cocktail Party- 5:00-7:00PM

  •  Saturday, January 29th

    • Breakfast- 6:30-8:00AM

    • Morning Break- 10:00-10:30AM

    • Luncheon- 11:30-12:30PM

    • Afternoon Break- 2:30-3:00PM

Exhibit Dismantle Times

The conference ends at 5:00 on Saturday, January 29th.  Vendors are welcome to dismantle their table at any time Saturday afternoon but please avoid doing so during any meals or breaks scheduled on Saturday (listed above). 


Vendors are also welcome to dismantle their table as late as 6:00PM on Saturday night after all attendees have cleared the area.

Arrangements are being made to allow vendors to ship to/from the business center at the Yacht Club Convention Center.

Please note that all shipping needs/issues are to be handled between the Ricoh Business Center and the vendor.  PMI does not assume any responsibility/liability/guarantee related to such offerings and the vendor's decision to utilize such service(s) is at the vendor's sole risk and responsibility.

COVID Restrictions

The PMI Conference will be following COVID-related precautions as outlined by Walt Disney World.  As of today, the only COVID-related guidelines relate to wearing masks while indoors at any WDW property detailed here.


12/13/2021 Update

COVID-Related Items

  • We will be following Walt Disney World's policies as related to COVID.  As of today, their only restriction is that masks be worn indoors on all Disney properties. 

  • Disney's policy as of today is as followed:

    • Face coverings are required for all Guests (ages 2 and up) in all indoor park and resort locations, regardless of vaccination status. This includes upon entering and throughout all indoor attractions and indoor queue and in Disney buses, monorail and Disney Skyliner, regardless of vaccination status. Face coverings are optional for Guests in outdoor areas.  

    • You can remain apprised of Disney's COVID policies by clicking here;

  • We will not be requiring any testing or proof of vaccination in order to attend the conference due to limitations from the state of Florida.

  • Given that the attendees are from the health industry, our expectation is that everyone will be fully vaccinated (with booster, as applicable) prior to attending the conference.  

  • We respectfully ask that all attendees consider getting tested prior to their trip to Orlando out of concern for their own well-being as well as the health and safety of their colleagues attending the conference.



Dinner Reservations & Park Tickets

  • Due to limited capacity at various parks and venues, all attendees are encouraged to plan ahead and plan their dinners and park tickets.  

  • PMI attendees will be provided with breakfast and lunch on Friday, January 28 and Saturday, January 29 (included in the ticket price paid.)


Airport To Hotel Transportation

As of today, there are many ways to get to the hotel from the airport including Uber, Lyft, and a variety of other options.  If you would like to schedule something ahead of your arrival, Disney recommends MEARS Connect as a reliable option.

Viewing Attendee Counts

The easiest way to monitor the number of people attending in-person is via the conference app.  

Step 1: Open the app and select the "Attendees" icon:

Step 2: You will then see a filter option at the top of your screen:

From there, you can see the latest count of in-person and virtual attendees:
